Class Tracks Garry Heberer provided Presidents Council with a Class Tracks update. He explained that Class Tracks is a point and click system that is fairly easy to use. Information in Class Tracks is downloaded from SIS and is accurate as of the day before the inquiry. Class Tracks allows you to pull information on individual semesters in numerous ways. With a click of the mouse we can view enrollment trends by days, courses, disciplines and divisions. We can pull up multiple semesters and view the curriculum for degreed programs. Class Tracks can show us conflicts in the schedule by course, time, room and instructor. The program also allows us to export the reports into a spreadsheet for further manipulation. Class Tracks can and should be used when scheduling classes. Dr. Heberer reported that the participation rate for those using Class Tracks has been slower than he had anticipated. Several support staff were trained to use the program, and some people in Student Services, English and COT departments, and branch campuses are utilizing Class Tracks to a limited degree. To better utilize Class Tracks, we need to focus on training people and make people aware of what Class Tracks can do for us. Dr. Heberer will attend a department chair meeting to give them a better understanding about how we can better utilize Class Tracks in the scheduling and advising. He should also attend a Faculty Senate meeting to discuss Class Tracks. Assessment Dr. Heberer reported progress is being made in the numbers of syllabi with outcomes. The first syllabi and outcomes count was done for spring 2004 and 59% of the syllabi had outcomes on them. For fall 2004 the syllabi with outcomes increased to 79%. Syllabi without outcomes went from 14.6% to 13.7%, and no syllabi in files went from 26.8% to 6.6%. Dr. Heberer reported that some faculty may not know that a syllabus must be provided for EACH of their sections. An easy way to accomplish this is to list all of the sections on one syllabus and to make copies of that syllabus for the number of sections taught. Dr. Heberer said that a rubric was created for all GBC General Education Courses with learner outcomes. Classified Council Update Irma Reyes reported that the Classified Council meeting scheduled for January was cancelled, but they would be meeting in February. Through the Classified Councils annual Christmas tree fundraiser, they were able to provide all Christmas presents for two families identified by the Division of Child and Family Services who were in need. Revenue from the vending machines has been good, so the Classified Council is creating a new scholarship for Classified Staff. The Classified Grant-in-Aid is 12 credits, and they wanted to create a scholarship which would go to the purchase of textbooks. They will award four scholarships per semester to randomly selected Classified Staff who are using their Grant-in Aid. This is the first semester that the scholarship was implemented. Ms. Reyes reported that she has not heard anything negative about the Winter Closure and that everything went well. At the February meeting Classified Council will be discussing a possible stipend for co-chairs and whether they support the reimplementation of the Administrative Council. Ms. Reyes reported that the process for selecting new co-chairs will begin in March with elections to be held in May. Computer Use Flag Carl Diekhans requested Presidents Council review the Computer Use Flag that he provided. The flag will bring up the rules and regulations pertaining to the use of a GBC computer. When the employee/student signs onto the computer the flag will appear. You must click if you agree or disagree with the policy before you will be logged in; of course if you disagree the system will log you out. Presidents Council approved installing the Flag in the system. Mr. Diekhans will notify Jeff Cox to proceed with the installation. State of Nevada Memorandum #01-05 Carl Diekhans distributed this memorandum which announces that the mileage reimbursement rate will increase to 40.5 cents starting January 1. Farm Land/Irrigation Carl Diekhans updated Presidents Council about the 80 acres by the percolation ponds that the City of Elko inquired if GBC would be interested managing. Gary Sundseth looked at the property to see what kind of commitment it would take. The property is infested with rodents and is overgrown with weeds. Furthermore, GBC does not have the equipment to work the land. Presidents Council recommended that Carl prepare a letter to the City indicating that we are declining their offer; but may be interested in looking at it again in the future. Faculty Senate Update Kathy Schwandt gave an update on the Faculty Senate meeting on January 21, 2005. Faculty, working in conjunction with Administration, has come up with a different option for the Academic Affairs Reorganization which is a blending of components of the other models being considered. The idea is to eventually have Division Chairs and Deans of Academic Support. However we can not immediately do both. In the meantime, it is recommended that beginning in fall 2005, we have a hybrid structure: one Dean of Academic Support overseeing Applied Science programs, one or two Divisions formed with pilot program Division Chairs, and then the remaining programs remain structurally unchanged. Program supervisors remain unchanged with Division Chairs and/or Deans. Departments that do not have a Division Chair will still have Department Chairs. The longer-term goal is to have three Deans of Academic Support: Applied Science, Health Science, and Arts & Sciences; probably developed and funded in that order. Funding for Deans would be from Administration. There will be further discussion among Faculty and Administration determining Division composition and number of Divisions. The long term goal is to have a Division Chair for each division. Funding for Division Chairs would be from instruction. There will be further discussion among Faculty and Administration resulting in written job descriptions and workload expectations for Faculty, Department Chairs, Division Chairs, and Deans. Deans of Academic Support would teach at least one class per year. Division Chairs would be tenured faculty, elected by faculty, and approved by the VPAA. Separately, adjunct mentoring and faculty evaluation processes need to be streamlined, regulated, and designed objectively. In other business: Curriculum and Articulation Committee Faculty Senate approved the BAS Management in Digital Information Technology program; FREN 111 First Year French and FREN 112 First Year French; BUS 102 Entrepreneurial Business Plan Development, BUS 107 Business Speech/Communication, and BUS 117 Applied Business Mathematics; and MATH 310 Introduction to Analysis I. Faculty Senate approved the Presidents Council-approved version of the Three Year Plan Mission Statement for the GBC Distance Education Program. Miscellaneous Danny Gonzales reported that the date for GBCs interim evaluation by Northwest Commission on Colleges and Universities will be on April 27, 2005. This is a follow-up to the full-scale visit in 2003. Lynn Mahlberg wanted everyone to know that about fifty people came through the open house on Saturday which gave us a little bump in FTE. The people used all of the resources available to them: academic advising and student services. Presidents Council discussed the governors State of the State address. There was no mention of capital construction projects in the address. We need to find out whether GBC is at the top of the list for capital construction. Dr. Killpatrick and Mr. Diekhans will be attending a budget meeting in Carson City next week. They will be addressing the issues brought up in the legislative audit. Summer Ehrmann thanked everyone for their participation in the Foundation Retreat last weekend. The facilitator was very impressed with our enthusiasm. The Foundation is in the process of putting together an email to develop marketing for the Endowment for New Programs. Ms. Ehrmann reminded everyone that the Foundation Dinner Dance tickets are on sale for $60 per ticket. They have 300 tickets to sell and have sold fifty. The theme of this years Dinner Dance is Silent Screen Reflection; An Evening of Romance. There are many fabulous prizes such as a weekend fly fishing in the high country, a primp your ride package, a hot tub package, as well as wonderful GBC art. The Dinner Dance is on February 26, 2005. Ms. Ehrmann requested Presidents Council become a package sponsor. Last year, Presidents Council, as a group, donated $250. She requested that same level of support this year. She added that the Student Government Association, Classified Council, and Faculty Senate will all be requested to provide some level of support. Erik Seastedt informed Presidents Council of a recent change in the Board of Regents Handbook that allows tenure committees access to personal files solely for reasons germane to the performance of their official duties. John Rice reported the College News is coming out today. There were 6 or 8 new classes that were developed that made the issue. The rest of the schedule is all late starting classes. Dr. Killpatrick reported that Dawn Gibbons, state Assemblywoman, will be on campus on Thursday. She has expressed an interest to run for her husbands seat in Congress. Dr. Killpatrick reported that the Native American Market advertisement appeared in the Cowboy Poetry booklet. The market will be located at the Girl Scout House during Cowboy Poetry. Eventually, they want to make it a year round shop.
